Five things to consider when booking your next event

No matter what event you’re looking to host; whether a conference, exhibition or a dinner, you need to have a good idea about what space and facilities are going to work for you, your delegates and guests.

Below are the top five things to consider for your next event, as recommended by our experienced events team:

  1. Location

One of the first things to decide upon when planning your event is where you want to hold it. Historically large conferences and exhibitions have been based in London, however, with an abundance of high quality venues outside of London, predominantly in Manchester and the wider North West, the options are endless.

You don’t want to hold your event in London simply because it’s always been the ‘done thing’, there are so many options across the country and with ever expanding transport networks, whether your headquarters are in London, Birmingham, Leeds or Manchester, there is no obligation to stay put… give your guests/delegates a change of scenery.

  1. Type of Venue

Once you have settled on a location, the next consideration is the type of venue. This will depend on the type of event you are holding - do you require a vast open space to accommodate 1,000 delegates for a conference in plush modern surroundings, or a more relaxed casual space for say 10-15 staff for a board meeting with a difference?

A jaw-dropping destination venue like Emirates Old Trafford is perfect for any event, from exhibitions and conferences in the modern and column-less ‘The Point’ to a board meeting/team building session in ‘The Pavilion’.

Think about your guests expectations, especially if they’re travelling to a new city… you create an event in a venue that will stay in their memory!

  1. Number of Guests

Intrinsically linked with the previous point regarding the type of venue, the number of guests will of course impact on the venue you hire. If you need a venue with the capability to hold a conference or dinner for 1,000 delegates/guests, you also need somewhere able to offer expansive car parking, excellent transport links and first class catering.

If you know how many guests will be attending your event, all other aspects of planning will be much easier, from booking accommodation to completing food orders.

  1. Facilities

When planning a full day conference or exhibition, ensuring the venue has adequate facilities is imperative. Do you need break out rooms for workshops or smaller discussions, catering or even bedrooms? Booking a venue that perfectly matches your needs will not only help to remove any organisational headaches, but will also mean your guests and delegates have a more enjoyable experience.

  1. Transport

Transport to the venue is key, especially if you have guests who will be travelling from outside the city or overseas. How close is the venue to local public transport links, main roads and motorways? Does the venue have adequate parking for those arriving by car?

These are important factors to consider, but that doesn’t mean you have to be city centre based.  A venue such as Emirates old Trafford is the perfect option, close enough to the city centre that it can be reached in minutes by road or Metrolink, just three miles from all major motorways and a short nine mile drive from Manchester Airport; the largest outside of London.

Venues on the edge of the city often offer larger and more versatile spaces, enhanced parking facilities and a unique setting. As long as the transport infrastructure is strong and supports the number of guests and delegates, you are not tethered to the ‘same old’ city centre venues.
